Privacy notice
Your information, handled with care.
How MuniLink collects, uses and protects personal information, in line with the Protection of Personal Information Act 4 of 2013 (POPIA). Last updated 15 October 2026.
Who we are
MuniLink is run by Slyvester Mngadi in Gqeberha, South Africa, and is the responsible party for personal information collected through this website and our emails. For privacy questions, contact us at munilink.agency@gmail.com.
What we collect
- Enquiries: the details you choose to send us by email or our enquiry form, such as your name, role, municipality, work email, the workflow you are asking about and preferred call times.
- Checklist requests: if you ask us to email you the checklist, your name, work email and municipality, used to send it and occasional updates when guidance changes. Every update includes a way to stop them.
- Discovery calls: notes of what we discussed. We do not record calls without asking first.
- Engagement records: during an agreed engagement we may see municipal records that contain personal information, such as names on bid documents or declarations.
This website does not use advertising cookies or tracking pixels. If we add privacy-friendly analytics in future, we will update this notice first.
Why we use it
- To reply to your enquiry and arrange a call.
- To scope, deliver and report on work you have asked for.
- To keep business records we are required to keep.
We do not sell personal information or use it for unrelated marketing. We will only send you occasional updates if you ask for them, and you can stop them at any time.
Municipal records during an engagement
When we work with your records, we act on the municipality's instructions and keep access to what the agreed sample needs. Where possible we review records in your own systems, with your staff. We do not copy records to public or consumer tools, and we return or delete working copies at the end of the engagement unless you instruct otherwise. Specific terms are agreed in writing in each scope.
Who we share it with
Only service providers we need to run the business, such as our email provider (Google), our website host (Cloudflare) and FormSubmit (formsubmit.co), which delivers what you type into our website forms to our inbox, and only as far as needed. Some providers may store data outside South Africa; where that happens we rely on providers with appropriate safeguards, as POPIA requires. We will disclose information if the law requires it.
How long we keep it
Enquiries that do not lead to work are deleted within 12 months. Engagement records are kept for as long as the contract and the law require, then deleted.
Security
We use reasonable technical and organisational measures, including access-controlled accounts, to protect personal information. If a security compromise affects your information, we will tell you and the Information Regulator as POPIA requires.
Your rights
You may ask what personal information we hold about you, and ask us to correct or delete it, or object to how we use it. Email munilink.agency@gmail.com and we will respond within a reasonable time.
If you are not satisfied, you can complain to the Information Regulator (South Africa): inforegulator.org.za (opens in a new tab), complaints to POPIAComplaints@inforegulator.org.za, general enquiries 010 023 5200.
